# The enquiry that arrives complete

"We are interested in your zone. Please send information." Every investor services team knows this email. It starts a slow exchange that often ends with silence. The fix sits in what happens before the investor writes.

## Why vague enquiries happen

Investors write vague emails when the website gave them nothing specific to point at. If they could not find plots, prices or capacity, they ask for "information" and hope for a brochure.

So the team replies with a brochure. The investor reads it, finds the same gaps, and either asks again or drops out.

## Let the investor build the enquiry

A good handoff collects what the investor has already done on your site and sends it along:

- The plots they shortlisted, with their IDs.
- The project basics they entered in site selection: sector, size, power, timing.
- The incentives the tool showed them.
- Their open questions, in their own words.

The shortlist in Business Builder Map works this way. An investor saves plots while browsing, then sends one request that lists every plot and its key figures. Your team opens an enquiry that already says what the investor wants.

## Ask less in the form

Long forms lose people. If the project details come from the shortlist and site selection, the form only needs a name, a company, an email and a note. Everything else is optional.

Keep a hidden honeypot field for bots and leave out captchas where you can. Real investors are busy and will not solve puzzles for you.

## Reply with plots

When an enquiry names plots, the reply can too. "Plot A-012 has 12 MW available now. If you need more land, A-016 nearby is also available at 14.4 ha. Here is the allocation process and how long each step usually takes." That reply moves a project forward. A brochure resets it.

## Route it to a person within hours

A complete enquiry deserves a named owner the same day. Route it by sector or by district, whichever matches how your team is organised, and tell the investor who that person is.

Investors run several locations in parallel. The first useful reply sets the tone for everything after it.

## Close the loop when it ends

Some enquiries end with "we chose another location". Ask why, once, politely. Power, price, timing or a better incentive somewhere else: each answer goes into a short log, and that log tells you what to fix in your land offer.

## Measure the gap

Track how many messages it takes to go from first contact to a site visit or a decision not to proceed. If you change the handoff, that number should drop. It is the cleanest test we know of whether your online offer is doing its job.
